Warehouse selection: a checklist beyond floor space

Choose a facility around the cargo, inventory process and dispatch needs.

The quick answer

A suitable warehouse must meet the shipment’s storage, handling, security and dispatch requirements. Floor area is only one part of the selection.

Describe the inventory profile

Tell the provider what arrives, how it is packed and how often it moves. Include pallet dimensions, weight, stackability and any special storage conditions. Forecast the receiving and dispatch pattern rather than quoting one average stock figure. Slow-moving inventory and fast replenishment stock require different operational arrangements even when they use the same space.

Agree the receiving process

Define appointment procedures, unloading responsibilities and receipt checks. Decide how shortages, damage and mismatched labels are recorded. For inventory visibility, specify the unit of record and the reporting frequency. Confirm whether product-level counts, batch details or expiry dates are required. An agreed intake process is more useful than assuming the facility will interpret every shipment the same way.

Price the full storage cycle

Review inbound handling, storage basis, minimum fees, picking, packaging and outbound dispatch charges. Clarify what happens when space use or throughput changes. Check insurance and responsibility terms with the appointed provider. Before approving the facility, consider how quickly goods can be released and which documents or instructions are needed for dispatch.

Your shipment checklist

  • Define cargo conditions and throughput.
  • Agree receipt and exception recording.
  • Check inventory reporting requirements.
  • Compare receiving, storage and dispatch fees.

Should I choose the lowest monthly storage rate?

Compare the total handling and dispatch cost as well as facility suitability. A low storage rate can be offset by charges at each movement.

This guide supports shipment planning. The accepted quote, carrier requirements and applicable authority rules determine your shipment’s final arrangements.
